How to Complete a Notary Certificate

Completing Notary certificate wording is an essential part of your duties as a Notary Public, but it is easy to get confused and make mistakes. In this video, you'll learn 4 steps to complete a notary certificate.

1. The Venue
The venue is where the notarization takes place. If the venue information is preprinted, be sure to read the certificate carefully to confirm the information is correct. If the information is incorrect, you will need to correct the certificate.

2. The Body
The body of the certificate includes the main information about the notarial act, such as:
• The name of the signer
• The date of notarization
• Details about the notarial act
These details describe the facts of the notarization.

3. The Notary’s Signature
There will always be a place for you to sign as the Notary. Be sure you always sign your name exactly as it appears on your Notary commission. Provide additional information if needed, such as printing your name, the expiration date of your commission, or any other information required.

4. The Notary’s Seal
While not every state requires the use of a seal, most do. The placement of your seal on the certificate is the final act of authentication and establishes the genuineness of the notarial act. You will affix your seal beside where you sign your name. It’s important the image be clear and legible.

Some states require Notaries to use exact certificate wording prescribed by law, while others allow different wording to be used, as long as it substantially complies with state requirements.
