In our property management software series, we’ve introduced you to the world of property management software and covered the features you should look out for when choosing a software.

In this video we’re going to discuss another factor that is crucial to choosing the best software for you: pricing. Not all property management software is priced the same so it’s important to understand the different possible structures.

Does the software charge a monthly subscription fee? Do they charge you based on the number of units you manage? Do they charge you in different tiers based on the features that you want to use on their platform? Does the software charge you onboarding and set up fees? And, my personal least favorite, do they charge fees to get software support?

What's more, many of these fees may be hidden or difficult to notice. It’s important to do your research and ensure you uncover any fees you might be charged. The less hidden and confusing the fees the better.

Regardless of the specifics of how fees are charged, you’ll generally find that a software platform’s pricing structure falls into one of the following three categories, each of which we’ll cover in this video: Pay to play, freemium, and free.

Let’s take a quick look at each of these categories so you can know what best fits your needs and what to look out for when choosing a property management software.

Pay to Play software is typically the most expensive. It may offer the most features, but usually it will charge you for each of the features you use, typically in the form of a monthly fee, and often there are onboarding and set up fees. This type of software often has the most robust features, but for a majority of landlords, the features can be more than they need and the software can feel overwhelming to use, not to mention pricey.

Freemium software is software that is a little bit more affordable, but it may still charge you to access certain premium features, charge you based on the number of units you manage, and may even have onboarding and setup fees.

Last on our list is Free software. It may sound too good to be true, but there are options on the market that are free or nearly free for you as a landlord. As far as we know, none of the software platforms that offer totally free access are charities. Typically, they look to offer value driven features at affordable costs, typically paid by the tenant. For example, Cozy and Innago, both free software platforms, charge small transaction fees when tenants pay their rent. In the case of Innago, landlords have the option to cover those fees if they’d like.

If the software offers screening, the fees are likely paid by the applicant. There’s no charge at all to access premium features, no monthly fees, and certainly no onboarding, set up, or software support charges. Some free software options will offer to expedite funds for an additional fee, but others use fast processing times without any additional charge.
